The Role
Due to continued success and expansion, an exciting opportunity has arisen for an experienced PA / EA to join our client, a modern and innovative family food manufacturing business. By p Reporting directly to the Finance Director, Operations Director and Managing Director, you will be at the heart of the business, managing schedules, coordinating high-level meetings, handling confidential information, and ensuring seamless communication. You will be providing high quality and confidential administrative & functional support to the MD, OD, and FD, helping them to manage the overall governance of the organisation and in particular ensuring that their business plan objectives are carried out and managed and that agreed actions are followed up accurately and timely. providing direct support to the Senior Management Team (Managing Director, Finance Manager and Operations Manager), in this brand-new role you will be at the heart of the business, managing schedules, coordinating high-level meetings, handling confidential information, helping ensure seamless business-wide communication. You will be providing high quality and confidential administrative & functional support to the MD, OD, and FD, helping them to manage the overall governance of the organisation and in particular ensuring that their business plan objectives are carried out and managed and that agreed actions are followed up accurately and timely.
- Provide comprehensive support to the Senior Management Team, including secretarial and administrative tasks.
- Ensure confidentiality and privacy when handling sensitive information and communications.
- Manage and coordinate Management Team schedules, appointments, and travel arrangements, including corporate travel and accommodation.
- Arrange, coordinate, and attend meetings and events, taking minutes and recording actions and distributing minutes as required
- Prepare, edit, and distribute correspondence, presentations, and other key documents for senior management.
- Liaise with internal staff at all levels and act as a point of contact for exchanging and obtaining information for senior management.
- Manage and support team events, including venue setup, diary notifications, and necessary documentation.
- Assist Operations with setting, scheduling and communicating production planning schedules
- Assisting with import and export documentation to ensure all shipments are dealt with on a timely basis, including purchasing of our raw materials.
- Manage the integration in the business, alongside the Marketing Manager for our worldwide distributors and our white label customers to maintain and grow the relationships and deal with any queries in a professional manner, including planning production schedules.
- Conduct, collect data and data entry and system updates on our stock and dispatch system, and prepare comprehensive reports and documents as needed (full training will be given).
- Assist with the company's recruitment needs ie: coordinating with agencies, arranging interviews, and issuing offer letters.
- Undertake specific projects and other tasks appropriate to the role as directed.
- Serve as a Brand Ambassador, representing the company's values and image in all interactions.
Requirements
The successful Personal Assistant will have extensive experience working as PA / EA to multiple business owners or senior Directors. You will be exceptionally organised with fantastic planning, prioritization, and time management capability. Vitally you will be commercially aware, a problem solver and have fantastic communication skills. This role would suit someone who has worked as a Personal Assistant or Executive Assistant or C-Suite Assistant. Due to location - it's essential you have your own transport.
